Time Tracking Software Comparison 2026: 6 Options for Spanish SMBs
Honest analysis of Sesame HR, Factorial, Bizneo HR, Personio, HRLOG and Ficha.Work. Public pricing, real features, and which kind of business each one is best for.
Why 2026 is the year to choose well
Since 2019, every business operating in Spain has been required to log employee working hours (RDL 8/2019). What's new in 2026 is that the Spanish Labour Inspectorate has stepped up enforcement, and pending legislation requires the time log to be digital, immutable and accessible in real time. Paper logs and Excel sheets are no longer a valid option.
Fines for serious time-tracking violations range from €625 to €6,250 per affected worker (RD 5/2000). For a 30-employee company, an average sanction can exceed €30,000 in a single proceeding. Choosing the right software is no longer an operational decision — it's risk management.
This comparison covers the six most-used options in Spain in 2026, with pricing and features verified as of April 2026 from each vendor's public information. The goal is for an SMB owner to be able to decide in 10 minutes which one fits their business.
How we evaluated each option
To make the comparison useful for a real SMB (5 to 200 employees), we evaluated each option on:
- Public price per user per month — what's included in the base price and what's billed separately as add-ons.
- Regulatory compliance — RDL 8/2019 + adaptation to mandatory digital time logging (immutable records, individual identification, 4-year retention).
- Real iOS and Android mobile app — not just a mobile-friendly web view.
- Multi-location — managing several branches or sites from a single account.
- Native NFC hardware — physical bases for fast on-site clock-in without opening the app.
- Ease of onboarding — can you start with self-service in minutes, or is a sales demo required?
- Spanish-language support — local team and response in Spanish business hours.
- Consultancy / accounting firm model — multi-client management from a single account.
We don't evaluate broader HR features (payroll, performance reviews, training, etc.) because they fall outside "time tracking" and would muddy the comparison between specialized products and general-purpose suites.
The 6 options, one by one
1. Sesame HR
Spanish HR suite aimed at mid-sized companies. The most recognized brand in the segment and usually the first result in Spanish "control horario" searches.
- Strengths: mature, very complete product (time tracking, vacations, performance reviews, internal comms), polished mobile app, solid Spanish-language support.
- Limitations: price above the Spanish market average; many key features (advanced reports, integrations) sit in higher-priced tiers.
- Public price (April 2026): from approximately €4-6/user/month on the basic plan; check their site for current pricing.
- Best for: companies of 30-200 employees that want a complete HR suite, not just time tracking, and accept paying for it.
2. Factorial
Spanish-origin HR suite with international expansion. Generalist product where time tracking is one module among many.
- Strengths: broad ecosystem (payroll, training, benefits, expenses), strong brand, integrations with several external systems.
- Limitations: time tracking is not its main focus — it works well but doesn't stand out for simplicity; total price climbs quickly when activating multiple modules.
- Public price (April 2026): from approximately €5-8/user/month depending on plan; the time tracking module is usually included in the standard plan.
- Best for: companies of 50+ employees looking for a single platform for all HR needs and with the budget for a complete suite.
3. Bizneo HR
Spanish suite aimed at mid-to-large companies, with modules for recruiting, training, communications and time tracking.
- Strengths: very developed ATS (recruiting), training module included, established presence in 100+ employee companies.
- Limitations: price on request (not transparent on the website); aimed at companies with a dedicated HR department, less agile for smaller SMBs.
- Public price (April 2026): no public pricing; typically €4-7/user/month depending on modules contracted.
- Best for: companies of 80+ employees with an in-house HR team that need a combined ATS + time-tracking suite.
4. Personio
German-origin HR suite, positioned in the upper-mid segment of the European market. Has presence in Spain.
- Strengths: very complete product (full HR, payroll in some countries, ATS, performance management), modern interface, multilingual support.
- Limitations: highest price in this comparison; aimed at companies of 50+ employees, oversized for small SMBs; time tracking is just one module among many.
- Public price (April 2026): no public pricing on their site; typically from €8-15/user/month depending on package and country.
- Best for: companies of 100+ employees with international presence that need a unified HR suite.
5. HRLOG
Product specialized in time tracking for the Spanish market, focused on SMBs and competitive pricing.
- Strengths: low price, specific focus on time tracking (no HR modules you don't need), Spanish product designed for Spanish regulation.
- Limitations: mobile app less polished than the larger suites; no native NFC hardware; consultancy model more limited.
- Public price (April 2026): from approximately €1-2/user/month; check their site for plan details.
- Best for: SMBs of 5-50 employees that only need time tracking and want a low price, without needing physical NFC.
6. Ficha.Work
Product specialized in time tracking for Spanish SMBs and consultancy/accounting firms. This is the option we recommend — we are the authors of this comparison, and we explain why transparently below.
- Strengths: €1/user/month with all features included (no premium tiers), native NFC bases for €35 (one-time, no subscription), native iOS + Android mobile app with offline clock-in, dedicated multi-client model for consultancy firms, Spanish-language support, self-service signup in 5 minutes.
- Limitations: not a generalist HR suite (no payroll, performance reviews or ATS); exclusive focus on time tracking, vacations and time corrections; fewer third-party integrations than the larger suites.
- Public price: €1/user/month (companies) or €0.80/user/month (consultancies, 50-user minimum). Optional NFC bases: €35 per base, one-time payment.
- Best for: SMBs of 3-200 employees and consultancy firms that want regulatory compliance without paying for features they don't need, with optional physical NFC for on-site clock-in.

How to choose by company type
Small SMB (3-15 employees)
The priority is regulatory compliance without overspending or complicating things. You need: low price, self-service signup without a sales demo, simple mobile app, Spanish-language support.
Recommendation: Ficha.Work or HRLOG. Both cost around €1-2/user/month and are designed specifically for small SMBs. The difference comes down to whether you need physical NFC hardware (Ficha.Work includes it, HRLOG doesn't) and whether you manage multiple companies (Ficha.Work has a consultancy plan).
Mid-sized SMB (15-50 employees, no dedicated HR)
Same needs as the small SMB but with more volume and possibly multiple physical locations. The choice depends on whether you need complementary features (vacations, time corrections, signed monthly reports) that some products charge as add-ons.
Recommendation: Ficha.Work if you want all features included in the base price (€1/user/month with vacations, corrections, reports and optional NFC). Sesame HR if you're already considering a broader HR suite and accept paying €4+ per user.
Company with 50-200 employees and dedicated HR
The HR department probably wants a suite covering time tracking + vacations + recruiting + performance reviews. The question is whether to buy an expensive suite or combine cheap time tracking with other specialized tools.
Recommendation: Sesame HR or Factorial if you want everything on one platform. Ficha.Work + separate tools (Workday, Bizneo ATS, etc.) if you'd rather pay only for what you use — usually cheaper but requires more coordination.
Consultancy or accounting firm managing multiple companies
You need a single dashboard to manage time tracking for N client companies, with centralized billing and scalable pricing.
Recommendation: Ficha.Work has a dedicated consultancy plan (€0.80/user/month from 50 users) with multi-company view. Sesame and Bizneo have reseller models but less integrated.
Multi-location physical business (hospitality, retail, salons)
You need each location to clock in independently, ideally with physical NFC so employees don't have to open the app every shift.
Recommendation: Ficha.Work — the only option in this comparison with native NFC bases (€35 one-time per base) integrated with the central dashboard. One base per location, all clock-ins flow to the same dashboard.
Quick verdict and how to try Ficha.Work
One-line summary:

- HRLOG: low-cost alternative specialized in time tracking, no native NFC.
- Ficha.Work: time tracking and vacations at €1/user/month with all features included, optional physical NFC (€35 one-time), consultancy plan, and a mobile app with offline clock-in.
