Questions before signing up

How does billing work if I have seasonal or discontinuous permanent workers?+

Ficha.Work automatically adjusts every month based on the number of active workers. When an employee ends their period of activity, you pause them from the dashboard with one click and the system immediately stops billing for them. If you close the business for a month, you can pause all workers and pay €0 that month. Their history, clock-ins, calendars and vacations are kept for at least 4 years (legal requirement under Spanish RDL 8/2019), and when a worker returns you reactivate them with another click without losing anything.

Can I manage multiple locations from a single account?+

Yes. A single company account can include workers from multiple locations. Workers can clock in from the mobile app, the browser or an NFC base installed at each location, and all clock-ins arrive at the same centralized dashboard. You can mix methods: NFC at some sites and app at others, or even both in the same location. There are no extra charges for the number of locations.

What do the monthly reports include and how are they exported?+

Monthly reports are generated with one click from the manager dashboard and include: a consolidated daily table (clock-in, clock-out, breaks, hours worked, expected and balance), day-level and report-level validation status, a monthly summary of hours and incidents, a raw clock entry audit trail appendix, complete incident details with comments and initiator, and signatures with a legal notice compliant with RDL 8/2019. They download in both PDF and Excel formats and are ready to present at a labor inspection without any editing.

Is it valid for a labor inspection?+

Yes. Ficha.Work meets all the requirements of article 34.9 of the Workers' Statute and RDL 8/2019: immutable records with full traceability of any correction, two-way validation between company and worker, 4-year data retention, real-time access, and full report export. Reports include signatures, worker details, company details and the legal notice linking the document to the legal obligation of the work time registry.

Can I mix NFC and app clock-in in the same company?+

Yes. Each worker can use whichever method they prefer: mobile app (Android/iOS), web browser, or NFC base by tapping their phone. You can mix freely — some workers clock in via NFC at reception, others via the app from their phone. Even the same worker can use different methods on different days. All clock-ins are consolidated in the same history.

What happens if a worker forgets to clock in or out?+

Ficha.Work has two mechanisms. First, automatic reminders: if you configure schedules and activate clock-by-schedule, workers get reminders when they forget. Workers also now receive an automatic notification when they've been clocked in for more than 8 hours without clocking out, or 2 hours after their expected end time. Second, corrections: when a forgetting has already happened, the worker creates a correction request from the app indicating the real time, the manager reviews it and accepts with one click. The day's total is corrected automatically and everything is documented.

How does Ficha.Work comply with GDPR and data retention?+

Personal data is processed in accordance with GDPR. Workers can request their personal information and exercise their right to erasure directly from the app. Work time records are kept for at least 4 years as required by Spanish labor law. Data is stored on servers in the European Union (AWS Frankfurt) and all communications are TLS-encrypted. You can find our full privacy policy on the website.

How do I cancel my subscription and what happens to the data?+

You can cancel at any time with no commitment or penalty by emailing us at ayuda@ficha.work. Before cancelling, it's important that you download the monthly reports for your entire period of use — as a company, you have a legal obligation to keep these records for at least 4 years (RDL 8/2019). Once downloaded, we proceed with the cancellation and the data is deleted from the platform. If you only want to pause temporarily, you can pause all workers instead of cancelling — your bill drops to €0 and the data remains accessible.

Getting Started

How do I create an account?+

Go to app.ficha.work and click 'Create account'. Choose whether you're a company or consultancy, enter your details and confirm your email. Your account will be ready in less than a minute.

How do I invite my workers?+

From the management panel, go to 'Team' and click 'Add worker'. Enter the employee's email and they'll receive an invitation link to create their account.

How do I make my first clock-in?+

Open the app or website and tap the clock-in button on the home screen. Your entry will be recorded with GPS location. To clock out, tap the button again.

Where do I download the app?+

The app is available for iOS (App Store) and Android (Google Play). Search for 'Ficha.Work' or access directly from app.ficha.work in your mobile browser.

Can I use Ficha.Work from my browser?+

Yes. Ficha.Work works as a web app in any modern browser. Access from app.ficha.work on both desktop and mobile.

Clock-In & Clock-Out

How do I clock in manually?+

Open the app and tap the central clock-in button. The exact time and your GPS location will be recorded. To clock out, tap again.

How does NFC clock-in work?+

If your company has NFC bases installed, tap your phone on the base when arriving and leaving. The app will record the clock-in automatically without needing to open it.

Is my GPS location recorded?+

Yes, your GPS location is recorded when you clock in so your manager can verify where you clocked in from. Location is only recorded at the moment of clock-in.

What is clock by schedule?+

If your manager has enabled this option, you'll receive a notification at your scheduled start time. When you confirm, the clock-in is automatically recorded.

Can I record breaks?+

Yes. You can clock out at the start of your break and clock in when it ends. Each period will be recorded as a separate segment.

What if I forget to clock out?+

If you forgot to clock out, you can create a time correction (incidencia) to request a schedule adjustment. Your manager will receive the request and can approve it.

Time Corrections

What is a time correction (incidencia)?+

A time correction is a request to fix your schedule. If you forgot to clock in or need to adjust your records, you create an incidencia that your manager will review.

How do I create a time correction?+

From your clock-in history, select the day you need to correct and tap 'Create incidencia'. Enter the correct time and add a comment explaining the reason.

How do I approve time corrections as a manager?+

Pending time corrections appear in your notification panel. Click each one to see the details and approve or reject with a single tap.

What types of time corrections are there?+

You can create corrections for: forgotten clock-in (entry or exit), time adjustment and deletion of erroneous records.

Is there a deadline for creating corrections?+

Generally you can create corrections for records from recent days. Check with your manager for your company's specific policies.

Schedules

How do I create a schedule?+

From 'Schedules' in the management panel, click 'Create schedule'. Define the time slots for each day of the week and assign it to workers.

How do I assign a schedule to a worker?+

In the schedule view, tap 'Assign workers' and select the employees. You can also assign from each worker's individual profile.

Can I have different schedules per day?+

Yes. When creating a schedule you can define different time slots for each day of the week, or mark days without working hours.

What is clock by schedule?+

It's an optional feature that allows workers to receive a notification at their scheduled start time to confirm attendance. It's enabled from the company settings.

Can I modify an existing schedule?+

Yes. You can edit the time slots and assigned workers at any time. Changes take effect immediately.

Calendars & Holidays

How do I set up holidays?+

From 'Calendars' you can create holiday calendars. Ficha.Work includes national and regional Spanish holidays. You can add local or custom holidays.

Can I have different calendars per worker?+

Yes. You can create multiple calendars and assign a different one to each worker based on their location or agreement.

Are holidays subtracted from expected hours?+

Yes. Days marked as holidays in the calendar assigned to the worker are automatically excluded from expected hours calculation.

Vacations & Days Off

How do I request vacation?+

From your profile in the app, go to the vacations section and tap 'Request vacation'. Select the dates and submit the request to your manager.

How do I approve vacations as a manager?+

Vacation requests appear in your notifications. Review the requested dates and approve or reject each request.

How do I see my vacation balance?+

Your vacation balance appears in your profile. It shows total, used and remaining days for the current period.

What types of absence can I record?+

In addition to vacations, you can record personal days, paid leave and other types of absence configured by your company.

Can I cancel already approved vacations?+

Yes. You can request cancellation of already approved vacations. Your manager will receive the notification and decide whether to approve the cancellation.

Reports

How do I generate a report?+

From 'Reports' in the management panel, select the date range and workers. You can generate reports in PDF or Excel format.

What report formats are available?+

Reports can be exported in PDF (ideal for printing and filing) and Excel (ideal for data analysis).

Can I filter reports by employee or department?+

Yes. You can generate individual reports per employee or aggregate data from multiple workers. The date filter allows selecting any range.

How long is data stored?+

Clock-in data is stored for 4 years, complying with the legal requirements of RDL 8/2019 on working time registration.

Billing & Subscription

How much does Ficha.Work cost?+

The price is €1 per user per month (+ VAT) for companies and €0.80 per user per month (+ VAT) for consultancies. All features are included.

How can I pay?+

We accept credit and debit card payments and SEPA direct debit.

How do I access my invoices?+

Your invoices are available in the 'Billing' section of the management panel. You can download them in PDF format.

Does the free trial have limits?+

No. During the 14-day trial you have access to all features with no user limit. A payment method is requested at signup, but nothing is charged during the trial period — you can cancel before day 15 at no charge.

How do I cancel my subscription?+

You can cancel your subscription at any time from the 'Subscription' section of the management panel. There is no cancellation penalty.

Can I switch from company to consultancy plan?+

Contact our support team (ayuda@ficha.work) to migrate your account. We'll help you through the process.

For Consultancies

How do I set up my consultancy account?+

Register at app.ficha.work/signup/asesoria. Once your account is created, you can add client companies from the management panel.

How do I add client companies?+

From the consultancy panel, tap 'Add company'. Enter the client company's details and it will be created under your account.

How do I manage workers from different companies?+

Use the company selector in the header to switch between clients. Each company has its own team, schedules and calendars.

Is billing consolidated?+

Yes. You'll receive a single monthly invoice for all users across all your client companies, at the reduced price of €0.80/user.

Do workers know I'm managing their company?+

Workers interact with the app normally. They see their company like any other user. Consultancy management is transparent to them.

Pausing & Archiving Workers

Can I pause a worker without deleting their account?+

Yes. You can pause any worker from the team page. A paused worker cannot clock in or access the app, but all their history is preserved. When they return, they can be reactivated with one click and log in with the same credentials. Paused users are not billed.

How does billing work with seasonal or intermittent workers?+

You are only billed for active users each month. If a worker is paused during a period, they are not included in the billing. When they are reactivated, billing resumes automatically.

What is the difference between pausing and archiving a worker?+

Pausing is temporary — the worker keeps their credentials and can be reactivated instantly. Archiving is permanent — it disables the account and requires a new invitation to return. Use 'Pause' for workers who will come back. Use 'Archive' for workers who are leaving the company.

Do reports reflect the periods when a worker was paused?+

Yes. Days when the worker was paused appear as 'Inactive' in the monthly report. These days do not count as absences and do not affect the hours balance.

Troubleshooting

I can't log in+

Verify you're using the correct email. If you forgot your password, use 'Forgot my password' on the login screen. If the problem persists, contact support.

The app isn't loading correctly+

Try closing and reopening the app. If using the web version, clear your browser cache. Make sure you have a stable internet connection.

NFC isn't working+

Verify that NFC is enabled in your phone's system settings. Hold the back of your phone against the base. On iPhone, NFC works automatically.

I'm not receiving notifications+

Verify that you've granted notification permissions to the app in your phone settings. On Android, check that the app isn't in battery saving mode.

How do I contact support?+
