Digital time registration will be mandatory

The proposed regulation will eliminate paper and Excel recording. Only digital registration with individual credentials, immutable records, and real-time access will be accepted. The law is pending parliamentary approval.

What the new regulation requires

Exclusively digital registration

Work time recording must be done through digital systems. Paper and spreadsheets will no longer be valid.

Immutable records

Records cannot be modified without leaving a trace. Any correction must be fully traceable with complete audit trail.

Individual credentials

Each worker must have individual credentials (PIN, QR, NFC). Biometric data is explicitly excluded as a clock-in method.

Real-time access

The Labor Inspection can access records remotely and immediately, without needing to request documentation.

Minimum 4-year retention

Work time records must be kept for a minimum of 4 years, accessible at all times.

What will no longer be valid

Paper registration or sign-in books

Excel or Google Sheets spreadsheets

Systems without individual credentials

Records that can be edited without audit trail

Systems without remote access for inspection

100% digital registration with mobile app and web

Current regulation status

The digital time registration regulation is pending parliamentary approval. The bill is stalled in Congress due to political deadlock. There is no confirmed effective date. Companies already using a compliant digital system will not need to make changes once the law passes.

Recommendation: although there is no fixed deadline yet, the legislative direction is clear. Migrating your registration system now will save you from last-minute stress when the law is eventually approved.
