Time tracking for construction
Crews spread across several sites, basements with no signal and sites that change every month. With Ficha.Work each worker clocks in from their phone at the site they're on, and you get the complete working-time record without sign-in sheets in the site hut.
14-day free trial (payment method required, nothing charged until day 15). Then €1/user/month + VAT.
Why time tracking on site is different
In construction almost nobody starts the day at the office. The team leaves from the yard or goes straight to the site, works where there is sometimes no signal and moves on when a phase ends. The sign-in sheet in the hut is filled in late, gets wet or goes missing, and the foreman ends up writing hours down from memory.
Ficha.Work is time-tracking software built for work away from an office: each worker clocks in with their own phone in seconds, the clock-in stores the time and, if the phone allows it, the location, and the company keeps the complete record for four years.
The usual problems on site, solved
What construction and renovation companies tell us most, and how Ficha.Work covers it.
Several sites at once
Three crews on three different sites and one foreman who can't be everywhere to check who has arrived.
With Ficha.Work: each worker clocks in from their phone at the site they're on, and the dashboard shows in real time who is clocked in, who should be according to their schedule and who hasn't arrived.
Sites with no signal
Basements, warehouses, rural areas or floors under construction where the phone has no signal right when it's time to clock in.
With Ficha.Work: the clock-in is saved on the phone with the real time the worker tapped, and sent automatically as soon as the signal returns. It isn't lost or recorded with the sync time.
Did they clock in on site?
Clock-ins made from home or from the café round the corner, and no way to check afterwards.
With Ficha.Work: the clock-in records the phone's location when the worker allows it. If you need to, location-based clock-in limits clocking to a radius around each site (available on request).
Sites that change every month
One site finishes, another starts, and the team is reshuffled.
With Ficha.Work: there are no terminals to move or install: the worker's phone goes with them. If you use location-based clock-in, you add the new site to the dashboard with its address and radius in a couple of minutes.
Long days and forgotten clock-outs
At the end of a day on site nobody remembers to clock out, and the day stays open.
With Ficha.Work: the worker gets an alert after more than 8 hours clocked in, or 2 hours after their scheduled end time. If they still forget, they fix it with a correction request that the manager approves, and it stays documented.
Staff coming and going
Contracts per project or per season: constant hires and departures depending on the workload.
With Ficha.Work: you add a worker in minutes and, when they finish, you pause or archive them: they're no longer billed and their history is kept for the four years the law requires.
Clocking in on site: phone, offline or with an NFC base
The usual way on site is the mobile app: one tap on arrival and one on leaving. If there's no signal, the clock-in is saved on the phone with its real time and sent when coverage returns. For a long project with a site hut, you can also stick an NFC base by the entrance: each worker taps their own phone and clocks in without opening the app. No power or Wi-Fi needed.
Each base costs €35 (one-off, no subscription). See how the NFC clock-in bases work.
Site schedules and schedule-based clock-in
Give each worker their site schedule (continuous, split or shifts) and the dashboard compares what was clocked with what was planned. For very stable schedules you can turn on schedule-based clock-in: the system records according to the assigned shift and the worker gets a reminder; if they finish later one day, they clock their real time.
Set up shifts in schedules and shifts and assign them to each worker or crew.
What the working-time record law requires
A daily working-time record has been mandatory for every company since 12 May 2019 (article 34.9 of the Workers' Statute, introduced by Royal Decree-law 8/2019). It applies on site just as in an office, including when work is spread across several locations.
- The exact start and end time of each employee's working day, every day.
- Records kept for four years, available to employees, their representatives and the Labour Inspectorate.
- For part-time contracts, a day-by-day record totalled monthly, with a copy of the summary given with the payslip (article 12.4.c of the Workers' Statute).
- How the record is organised and documented is set by collective agreement, company agreement or, failing that, by the employer after consulting staff representatives.
Maximum hours, the site calendar, travel time or allowances are set by your construction collective agreement (national and provincial). Ficha.Work records the real hours; apply the rules afterwards according to your agreement or your adviser.

FAQ: time tracking in construction
Is a working-time record mandatory for a construction company?
Yes. Since May 2019 every company with employees must record each day the start and end time of each employee's working day and keep those records for four years (art. 34.9 of the Workers' Statute). There's no exception by sector or because the work is done away from a fixed workplace.
What if there's no signal on site?
The worker clocks in anyway. The clock-in is saved on the phone with the time they tapped and sent automatically when the signal returns, so the record shows the real time, not the sync time.
Can I tell whether the worker clocked in on site?
The clock-in stores the phone's location when the worker allows it. If you need to enforce it, location-based clock-in limits clocking to a radius around each site you set up. This feature is enabled on request; write to us and we'll turn it on for your company.
Do I need to install a terminal on each site?
No. Each worker clocks in with their own phone. If you'd like a fixed point on a long project, you can stick an NFC base in the site hut (€35, one-off): no power, Wi-Fi or installation needed.
Does it work for several sites and several companies?
Yes. All clock-ins from every site arrive in the same dashboard. If you're an advisory firm managing several construction companies, you can run them all from one account.
How much does it cost?
€1 per active worker per month + VAT, everything included. You can try it free for 14 days: a payment method is required, but nothing is charged until day 15 and you can cancel before then at no cost.
