Before you choose: what Spain's workday record requires
Free or paid, the workday record (registro de jornada) is mandatory for every company with employees in Spain. This is what the law in force says:
- A daily record with the specific start and end time of each employee's working day (art. 34.9 of the Workers' Statute, added by Royal Decree-law 8/2019).
- The company must keep the records for four years.
- The records must be available to employees, their legal representatives and the Labour and Social Security Inspectorate.
- It is organised and documented by collective agreement, company agreement or, failing that, an employer decision after consulting the workers' legal representatives.
- For part-time contracts, the working day is also recorded day by day, totalled monthly and a copy of the summary is given with the payslip (art. 12.4.c ET).
The law does not impose a specific medium (paper, spreadsheet or app). What matters is that the record holds that data and that you can keep it and show it.
The free options
You can track working time without paying. Here is what each option does well and what you will have to handle yourself.
Paper
Free, and valid if it records the start and end time of every working day.
You must store four years of sheets, add up hours by hand and find the records when asked.
Download our free templateExcel or a spreadsheet
Free and handy for adding up hours.
Any cell can be changed without a trace, so it is hard to prove who entered each time and when. The file must also be kept for four years.
Add up hours with our free calculatorApps with a free plan
There are time-tracking apps with free plans, many designed to log hours against projects.
Check whether they record each employee's working day with start and end times, keep the data for four years and let you export it when the Inspectorate asks. Check the free plan's limits too.

Do I need to provide a payment method for the trial?+

If you don't cancel, the subscription continues at €1/user/month + VAT, with no lock-in. You can cancel at any time.

Is it legal to keep the workday record on paper or in Excel?+
Art. 34.9 of the Workers' Statute requires recording the specific start and end time of each working day, keeping the records for four years and making them available to employees, their representatives and the Inspectorate, but it does not impose a specific medium. As of October 2026, the draft royal decree that would require digital means has not been published in the BOE.
Is there a free time-tracking app that complies with Spanish law?+
Some apps have free plans. What matters is whether they cover what art. 34.9 ET requires (start and end of each working day, four-year retention and access for employees, representatives and the Inspectorate) and under which conditions their free plan does so. Check the limits before deciding.
How much will it cost after the trial?+
€1 per user per month + 21% VAT. With 5 employees, €5 per month + VAT; with 20, €20 per month + VAT. You can calculate it on the pricing page.
